Saturday, August 23, 2025, 8:00 am to 5pm, Old Westbury Gardens, Old Westbury, NY

Set-up: Friday, August 22, 1 pm to 5pm; Saturday, August 24, 6:00am to 8:00am / Tear-down: Saturday, August 24, 5pm to 8pm

Non-food vendor spaces are 20’x20’.

Fee: $350; $300 for 2024 Festival vendors.

 Festival Overview

The Long Island Celtic Festival & Highland will take place on Saturday, August 23, 2025, at Old Westbury Gardens. The festival honors the Celtic heritage, arts, and culture of Long Island and NYC immigrants from Scotland, Ireland, Wales, and Brittany. Attendance at previous festivals at Old Westbury Gardens, held on the fourth Saturday in August since 1977, regularly attracts approximately 5,000 adults and 800 youth.

If you have unique wares and would like to be considered for a Retail Merchant space, please read the instructions below.  Vendors are chosen by a committee based on merchandise selection, quality and uniqueness. The Festival tries not to duplicate items among existing Merchants whenever possible, to create an interesting variety of choices for our visitors and a more profitable event for our Merchants. Space is limited because of our layout.

Please note:  Sale of WE APONS of any type (ie. knives, swords etc.) is prohibited at the LI Celtic Festival. This also includes WEAPON REPLICAS of any material (ie. wooden/plastic swords, knives axes etc.).  As the event organizer, Old Westbury Gardens gives law enforcement the authority to determine WEAPONS or REPLICA WEAPONS to be removed from saleable inventory at the Festival.

VENDOR REQUIREMENTS

Vendor fees are due by Friday, August 15, and are not refundable. Vendors who have not paid the vendor fee will not be permitted to exhibit.

Applicants must obey all pertinent safety codes and laws including, but not limited to: New York State, Nassau County, and the Village of Old Westbury fire, safety, parking, tent, health, and tax regulations.

Vendors are required, with the Festival organizers, to uphold all laws pertaining to the sale and use of illegal and/or restricted items. Smoking or vaping is limited to personal vehicles and is not otherwise permitted on Festival grounds. Alcohol sales are prohibited by the Village of Old Westbury.

Each product booth space is 20’x20’. Additional spaces may be purchased for an additional fee. Tents, tables, chairs, or any other equipment will NOT be supplied. Some equipment may be rented from the Festival for an additional fee. Electricity is not available.

Vendors shall sell and serve goods at their own risk. Applicant agrees to hold harmless Old Westbury Gardens, and its agents, for any loss or damage to person or property.

All food vendors are required to complete and submit to Nassau County its Temporary Food Service Vendor Permit Application and comply with all of its requirements. For more information on the requirements to obtain this permit, please contact 516-227-9717 or tempevents@nassaucountyny.gov

Vendors will have access to festival grounds before and after posted event times for set-up and tear-down. Vendors must move their vehicles to designated parking areas prior to the start of the event.

The event will take place rain or shine, unless the entire event is cancelled by the organizer. Vendors agree to staff their booths throughout the duration of the event, though may use their discretion to be present in severe weather. (Fees are non-refundable.) All displays and merchandise must be secured for wind and rain. All tents must be fire retardant and comply with the Village of Old Westbury tent permit requirements. The event organizer will obtain and pay for the Village tent fees.

Vendors are required to keep their booth areas generally clean and tidy. Storage space for packing materials will not be available, so consider skirting your table. Posted signage must be within the 20’x20’ space and be family friendly.

Festival grounds will be laid out to prioritize guest experience, traffic flow, and maximum visibility for each vendor. No guarantee can be made for specific placement.

Participants agree to allow use of video and photography by festival organizers for promotional purposes.

Vendors are responsible for collecting payment, along with all appropriate taxes. There is not an ATM on site.
